QUESTION & ANSWER REPORT RFP No. 26-1342-1403 Drone as First Responder Program or ideal locations for initial dock deployment? ● If so, are those sites currently prepared to receive and support dock installation (e.g., permits, physical access, site control)? Jul 30, 2025 12:06 PM Answered by Gary Sightler: The City has not identified specific locations so the sites are not prepared to receive or support docking stations at the present time. The City will manage site preparation internally and it is expected that necessary work will be completed as soon as possible to not delay implementation of the program. Aug 18, 2025 10:20 AM 9. Deployment Capacity & Timeline Jul 30, 2025 12:06 PM Question: Refer to RFP Section 4.4: Implementation Timeframe (p. 10) and Section 8.7: Contract Period/Renewal (p. 25) Assuming the selected vendor can deliver multiple DFR systems (including docks) within 30 days of contract execution: ● What is the maximum number of units the City is currently equipped to deploy? ● Additionally, what is the City’s expected timeline for deployment once the contract is awarded? Jul 30, 2025 12:06 PM Answered by Gary Sightler: The City is not equipped to deploy any units at the present time. Offerors shall propose the number of units and sites necessary to cover the entire City in the proposal. The actual number of sites and units will be finalized during the negotiation phase of the procurement process. The City's desired timeline for deployment following award of a contract is approximately 60-90 days. Aug 18, 2025 10:20 AM 10. Rapid Implementation Clarification Jul 30, 2025 12:06 PM Question: Refer to RFP Section 4.4: Implementation Timeframe To support the City’s stated desire for rapid implementation of a comprehensive DFR program, can the City clarify whether proposals should be structured around: ● A full deployment strategy within Year 1, assuming equipment can be delivered within 30 days of award; or ● A scalable model, with clearly defined timelines and triggers for expansion, should full deployment not be feasible due to site readiness or City preferences? Jul 30, 2025 12:06 PM Answered by Gary Sightler: Offerors shall propose a recommended timeline for full deployment and may also propose a phased deployment approach in the proposal.
