The spreadsheet is a great start. I think it would be helpful to our accounting folks if the spreadsheet could show the budgeted expenses, the actual expenses, and the variance between the two. Showing the total actual expense is necessary to verify that all grant funds have been used, or if any grant funds will be returned. Any additional documentation you can provide, such as contracts and invoices, to validate the expenses in that spreadsheet would be helpful. The City's contract with PWF requires PWF to maintain records of all expenditures, including contracts, invoices, and similar documents. PWF has provided the City with a copy of its contract with GMT, which I understand is the only contract/expenditure that PWF directly incurred. I further understand that PWF's contract with GMT has more limited language regarding the post-event summary and only requires GMT to provide a summary of expenditures and allows for them to redact and summarize commercially sensitive and confidential information if disclosure is restricted by contract or industry practice. To the extent that such items are not so restricted, we would like to see copies of the same. We understand there may be limits to the documentation that PWF can provide but would appreciate your efforts to gather as much validating documentation as is possible. In short, in addition to the spreadsheet, we would like to see as much documentation as PWF is able to obtain from GMT, recognizing that GMT may not be required or willing to provide full documentation to PWF under your agreement. Any documentation that PWF can obtain and provide to validate the expenses included on the spreadsheet would be helpful in meeting audit and reporting requirements and ensuring transparency. Thank you for your partnership on this. If you have any questions or need further clarification, please let me know. Bob Robert E.
