Thank you for the follow up and we're working on this now and will have by the end of this week. Thank you! It is a helpful start and will support our closeout and reporting process with the City. To help PWF meet its audit, reporting, and documentation requirements, we would appreciate GMT’s assistance in providing a more detailed expense summary, if possible. Specifically, it would be helpful if the spreadsheet could show: * Budgeted expenses (perhaps you could reference the budgeting lines from the budget attachment included in the contract) * Actual expenses * Variance between budgeted and actual expenses * Total actual expenses Having this information will help verify that the grant funds were fully used for eligible event-related expenses, or identify whether any funds may need to be returned. In addition to the spreadsheet, PWF would appreciate any supporting documentation GMT is able to provide to validate the expenses included in the summary. This may include contracts, invoices, receipts, payment records, or similar documentation, to the extent those materials are available and not restricted by contract, confidentiality obligations, or industry practice. We understand that our agreement allows GMT to summarize expenditures and to redact or summarize commercially sensitive or confidential information where disclosure is restricted. We also recognize that GMT may not be required or able to provide full backup documentation for every expense. However, any additional documentation GMT can provide would be very helpful to PWF as we work to satisfy the City’s closeout, transparency, and audit-related requirements. In short, we are requesting an updated expense summary and as much validating documentation as GMT is able to provide, recognizing that some information may need to be redacted, summarized, or withheld where appropriate. Thank you for your continued partnership and assistance with this process. Please let us know if you have any questions or would like to discuss the request further.
